Financial Transparency: What Your Monthly Owner Statement Should Show

October 15, 2026 · 5 min read · Tilmon Properties

Your monthly owner statement is the single best window into how your rental is performing. A good one is clear, complete and easy to reconcile. If you can't tell where every dollar went, something is missing.

The core sections

1. Income

Every dollar collected, broken out by unit and type: rent, late fees, pet rent, parking, and any other charges. It should also show any rent that's outstanding, so you can see a delinquency before it becomes a problem.

2. Expenses

Each expense should be listed separately with the date, the vendor, a description of the work and the amount. You should be able to request the underlying invoice for anything on the statement.

3. Management fees

Management, leasing and renewal fees should each be listed clearly and should match your management agreement.

4. Owner distribution

Income minus expenses, minus any reserve the manager holds, equals your payout. The math should be simple to follow.

5. Reserves and security deposits

Your statement should show the operating reserve held for repairs. Security deposits must be handled according to DC or Maryland law, which generally means held separately from operating funds and properly tracked.

Red flags

Year-end reporting

At the end of the year you should receive a summary of income and expenses and the tax forms you need, such as a 1099. Organized year-end reporting makes tax season dramatically easier for you and your accountant.

Online owner portals

Many professional managers now give owners 24/7 access to statements, invoices and documents through an owner portal. Tilmon owners can log in to the Owner Portal at any time to see real-time financials for their properties.

Our standard: every Tilmon owner gets detailed monthly statements, invoice-level transparency and year-round portal access. If you can't read your current statement at a glance, let's talk.
